Ed Tech for Students: New Student Info

Email

Visit this overview presentation of Outlook at MUSC for more information on appropriate use of MUSC email, email quotas and retention policies, email security, calendar, people, tasks, and notes. 

Appropriate Use of MUSC Email

Per MUSC's Computer Use Policy - Do NOT use MUSC email for personal communications such as: Facebook notifications, personal shopping, personal banking and financial info., etc.

Appropriate Use of NetID Passwords 

Per MUSC's Computer Use Policy DO NOT give someone your NetID password so they can access your email. If you want someone to have access to your email – call the Help Desk at 792-9700 to request this.

Email Quotas 

2GB - This includes ALL folders in your mailbox, including “Sent Items”, “Deleted Items”, calendar appointments, contacts, and tasks. 

Email Retention Policy 

Emails do not stay in your account indefinitely. And moving them to another folder does not mean they won’t be deleted.  See 180 Day Rule.

Autoforwarding 

The ability to set up an autoforwarding rule has been disallowed due to MUSC’s Mobile Device Management and 2Factor Authentication.

NetID Password Changes

NetID Password Requirements:

  • Passwords have to be changed at least once every 180 days* ( approx. six months) 
  • Users on PCI computers (computers with a credit card swipe) will have to change their password every 90 days (approx. three months)
  • Passwords must be at least 8 characters long
  • Passwords must contain at least 3 of the following 4 items: lower case character, upper case character, number, and/or special character  
  • The new password cannot be the same as any of the previous 6 passwords
  • Passwords must have at least 4 changed characters from the previous 6 passwords
  • Passwords cannot be words found in the dictionary or YOUR first or last name
  • Accounts shall be locked for 15 minutes after 5 failed login attempts
  • Passwords cannot be changed more than ONCE a day

How Can I Remember All These Different Passwords? 

Users may use a password manager such as Keypass or LastPass to record their passwords. Password managers must follow the User Storage of Assigned Password Policy.

NetID passwords can ONLY be changed at the following website: netid.musc.edu.  If you get an email from an external sender asking you to change your password, DO NOT click on the link in the email. Close the email, go to netid.musc.edu and change your password.

Information Security

Information Security is data protection by ensuring the confidentiality, integrity and availability of data. 

  • Confidentiality - Protecting information from unauthorized disclosure or release
  • Integrity - Protecting information from unauthorized modification
  • Availability - Protecting information from loss or damage and assuring information is not easily accessible

What Kind of Data can be Stored in Box?
MUSC's policies define three classifications of data, according to sensitivity, see below.  Box is authorized to store all three levels of data.

  • MUSC Public – No restriction on access
  • MUSC Restricted - Information that should not be available to the general public but is not subject to HIPAA or other privacy laws
  • MUSC Protected - Personally identifiable information that is subject to privacy laws, including all “PHI” as defined by HIPAA

Getting Access

In any internet browser, go to musc.box.com and log in with your NetID and NetID password.  Read MUSC’s Terms of Service, then click on the Agree button and you’ll have access to your Box account.

Yammer

Yammer is the university-approved social networking site for all students, faculty and staff. It provides a safe, convenient way for members of the MUSC community to network and collaborate.  Click here to access Yammer using your Net ID and password.

Remember...

  • All MUSC internal groups must be hosed in Yammer.
  • Only groups that have outside of MUSC members (i.e. alumni) or market to outside of MUSC are allowed outside of Yammer. 
  • There may be no official MUSC sites or pages on YouTube, Facebook, Twitter, Instagram, Pinterest, etc., unless approved (mcintranet.musc.edu/socialmedia).

Social Media Guidelines

Social media is fun and exciting and we want you to share your story with us.  Please keep in mind that there is a certain level of standards for healthcare professionals when using social media. 

Remember...

  • Identify yourself as a MUSC student only when appropriate and provide an appropriate disclaimer that helps distinguish your views from those of MUSC.
  • Be thoughtful of your social media content.  Remember, off-campus and off-duty, you still represent MUSC and your profession. 
  • Maintain professional boundaries with patients and their families and do not post anything about a patient.
  • Do not use any University or Medical Center computer that handles sensitive data or supports critical functions to access social networking sites or personal email accounts.
